Student Policies

Welcome, and thanks for being here. These are the policies that keep our studios running, our teachers supported, and your lessons consistent. Take a few minutes to read them at sign-up. If anything's unclear, ask the office and we'll walk through it with you.

These Student Policies form an agreement between you (the Account Holder - typically a student 18 or older, or a parent or legal guardian acting for a minor student) and Collingswood Sound Music LLC, a New Jersey limited liability company doing business as Collingswood Sound Music, Haddonfield Sound Music, Merchantville Sound Music, and Sound Music NJ.

1. Agreeing to These Policies

You agree to these Student Policies when you sign up - typically by checking the acknowledgment box on the sign-up form, or, when applicable, by paying the first invoice. During sign-up via phone, text, or email our staff will indicate how to view the policies so you can read them and will check the acknowledgment box on your behalf. Every invoice we send includes a link to the current Policies and a confirmation that paying the invoice confirms your agreement. If you want a clean copy in writing, ask the office or navigate to our Policies page on our website.

Two related documents may be signed separately at sign-up: the Liability Waiver and Assumption of Risk, and (if and when applicable) the Photo and Media Release and/or an Event Liability Waiver (both used for specific events or projects). We keep these as separate documents so families don't have to wade through everything at once, and so the more sensitive items (image use, in particular) only happen when you've affirmatively said yes.

The current version of each document supersedes any prior versions. If we update these Policies in a material way, we'll give you at least thirty (30) days' notice by email and post the new version. Continued use of our services after the effective date means you've accepted the update.

2. Lessons, Packages, and Scheduling

2.1 Trial lesson

All new students start with a discounted trial lesson. The trial is a real lesson - your teacher will get to know the student and show them what an ongoing lesson looks like - and it's also a chance for you to confirm the day, time, location, and teacher work for your family.

2.2 Ongoing packages

After the trial, ongoing weekly lessons are sold in two packages:

  • Monthly package: 4 lessons.
  • Semester package: 10 lessons, at a discount.

Lessons typically meet at the same day and time each week. If your original day or time doesn't work after the trial, we'll try to find another slot in your teacher's availability.

2.3 Auto-Pay and recurring billing

Packages renew on a recurring basis. Renewal billing happens through Stripe inside My Music Staff. By enabling Auto-Pay in your MMS account, you authorize Sound Music to charge your card on file for renewing packages on the schedule shown in your MMS account.

You may cancel Auto-Pay at any time inside your MMS account - no phone call or email required. Log into MMS, go to Account & Invoices → Manage Payment Methods → Find the payment method → Select the 3 dots to edit → Select Disable Auto Pay. Cancellation is effective for the next renewal cycle; charges already initiated may not be reversible. We don't charge anything on cancellation; we just stop the renewal.

2.4 Late fees

Invoices not paid by the due date may incur a five percent (5%) late fee, applied automatically through MMS. If you need extra time, contact the office before the due date and we'll do our best to work with you.

2.5 No payment outside our system

All card payments go through Stripe via My Music Staff. Do not pay our teachers directly by Venmo, Zelle, or any other personal method - direct payment to teachers is against teacher and student policy.

If you'd like to pay by cash or check, we have a locked drop box at the Collingswood studio. Place your payment in a sealed envelope, drop it during lesson hours, scan the QR code on the box, and fill out the Drop Off Google Form (your name, account, amount, etc.). Gift certificates can be purchased through any of our websites.

2.6 Card processor pass-through

Stripe charges a processing fee on every transaction. We pass that fee through at billing rather than absorbing it into base prices. Your invoice will show the fee separately.

2.7 Scheduling

Scheduling is handled by the office. We match teachers and students based on goals, interests, age, and teaching style. We currently book up to two (2) weeks in advance and try to schedule weekly recurring slots. If you need to move a lesson or switch teachers, contact the office.

2.8 Pricing changes

Lesson rates may change from time to time. We'll give at least thirty (30) days' notice of any price change by email and on our websites.

3. Cancellations and Missed Lessons

We have a 24-hour cancellation policy.

3.1 More than 24 hours' notice

If you cancel a lesson more than 24 hours before the scheduled start time:

  • The lesson is not charged.
  • We'll attempt to reschedule if there's an open slot in your teacher's week.

3.2 Less than 24 hours' notice

If you cancel a lesson less than 24 hours before the scheduled start time, you have three options:

  1. Forfeit the lesson. The lesson is charged, and the teacher is paid.
  2. Recorded video lesson. The teacher records a short video during the originally scheduled lesson time, addressing the student's current focus, and uploads it to the student's MMS record by the end of the next business day.
  3. Online lesson. The lesson moves online (Zoom, FaceTime, or another platform agreed with the teacher) at the originally scheduled time.

For options 2 or 3 to apply, the office must be notified before the scheduled start time. Otherwise option 1 applies.

3.3 No call, no show

If a student doesn't show up and doesn't communicate with the office or the teacher, the lesson is treated as a forfeit (option 1 above).

3.4 Teacher cancellations

We try to give 24 hours' notice when a teacher needs to cancel. When that's not possible:

  • The teacher will offer an optional make-up time if possible.
  • If a make-up isn't possible, the lesson is credited to your account.

3.5 Studio closures (weather, utility, force majeure)

We may close one or more studios in response to weather, utility outages, public health orders, or other events outside our control. When we do:

  • We'll notify you by MMS message, email, or text as soon as we can. We try for 24 hours' notice when the situation allows.
  • Affected lessons are typically converted to online lessons or rescheduled. Where neither is possible, lessons are credited to your account.
  • You aren't charged for a lesson Sound Music cancels.

3.6 Power outage mid-day

If an outage hits during the lesson day:

  • We'll attempt to convert remaining lessons to online format where possible.
  • Otherwise, affected lessons are credited to your account (or rescheduled by mutual agreement).

3.7 Extended breaks

We allow up to two consecutive weeks of cancellations for any reason while holding your time slot. After two consecutive weeks, your slot may be offered to another student who can fill it more reliably. If you need a longer break, ask the office about online makeups, a different day, or a hold-and-rebook approach.

3.8 Lateness

If a student arrives late, the lesson still ends at the scheduled time. Repeated lateness affects the experience for students and teachers, so we may ask the family to adjust the slot.

4. Pausing, Stopping, and Refunds

We try to keep this simple: when you stop lessons, finish out what you've paid for first.

4.1 No refunds, with stated exceptions

Lessons and packages are non-refundable. Unused balances stay on your account and may be used for any future Sound Music service.

The exceptions:

  • Emergency. A documented emergency that prevents continued lessons (medical, family, relocation). We may require reasonable documentation.
  • Sound Music–caused issue. Where we cannot continue to provide the lessons you paid for (e.g., loss of teacher availability we cannot replace), we will refund the unused portion of your package, less any documented administrative cost (see §4.3).
  • Termination by Sound Music. Where Sound Music terminates an account for cause (see §10), the unused portion of any prepaid package is refunded, less amounts owed for damage or unpaid balances (see §6).

If your situation falls into one of those buckets, contact the office and we'll work through it with you.

4.2 Unused account balances

Balances remain on your account and may be used for future Sound Music services, including transferring the balance to a Sound Music gift certificate. If you’d like to have your remaining balance converted to a gift certificate, reach out to the office.

4.3 Administrative fee on refunds

Where a refund is actually issued under §4.1, the following administrative fee applies (to cover Stripe's non-refundable processing fees and the office time associated with the refund):

  • Refunds over $100: a flat $25 administrative fee deducted from the refund amount.
  • Refunds of $100 or less: a 20% administrative fee deducted from the refund amount.

These fees apply per refund, not per lesson, and only to actual cash refunds - not to credits applied to your account.

4.4 Card processor pass-through deduction

Stripe does not return its processing fee when we issue a refund. The administrative fee above is intended to cover that loss; we will not separately deduct a card processor fee.

5. Gift Certificates

Gift certificates are valid for five (5) years from the date of issuance, consistent with the federal Credit CARD Act of 2009 and applicable New Jersey law.

Gift certificate balances may be applied toward any Sound Music product or service.

6. Damage to Studio Property

Music studios are full of fragile and expensive things - instruments, electronics, hardware, sheet music, finishes that don't take well to spilled drinks. Most of the time none of this is an issue. When it is, here's how we handle it.

6.1 What's covered

  • Damage to studio property, instruments, or premises caused intentionally or through negligence by a student or guest of an Account Holder, while on Sound Music premises or at a Sound Music event.
  • Cleaning costs beyond ordinary wear and tear that the studio incurs as a direct result of food, drink, or bodily incidents (vomit, urine, etc.) left uncleaned by the responsible party.

6.2 Scope of responsibility

The Account Holder is responsible for the conduct of the student named on the account and any guest brought to the studio by the Account Holder, the student, or the person dropping the student off (e.g., a grandparent who brings a sibling along, a friend who tags along on a play date). The Account Holder is not responsible for damage caused by an unassociated third party.

6.3 New Jersey statutory framework

New Jersey law treats parental responsibility for a minor's actions differently depending on whether the damage was deliberate or accidental.

  • We understand that accidents happen, especially in a learning environment involving children and instruments. If a student damages studio property or equipment, we will assess the circumstances before determining whether reimbursement is appropriate.
  • In cases involving accidental damage where a minor is being properly supervised, we will discuss the situation with the parent or guardian and consider the facts surrounding the incident. In cases involving deliberate, intentional, or reckless damage, parents or guardians may be held financially responsible for repair or replacement costs to the extent permitted by New Jersey law.

What this means for you: if your child knocks something over and it is severely damaged as a result, we won't immediately bill you. We'll talk through what happened, then determine the best course of action.

6.4 Procedure and review window

When a damage or cleaning charge is contemplated, we'll:

  • Send the Account Holder an itemized invoice describing the damage, photos or video where available, and the cost.
  • Give the Account Holder at least thirty (30) days to dispute the charge in writing.
  • Cap the charge at the lower of (a) actual repair/cleaning cost or (b) fair-market replacement cost of comparable used equipment.

Where a child has had a bathroom or food/drink incident and a parent is willing to clean (or return to clean) in a timely manner, we'll offer that as an alternative to a cleaning charge.

6.5 Damage to a student's personal property

Sound Music is not responsible for theft, loss, or damage to instruments, cases, electronics, clothing, or other personal property brought to or left at the studio, except where caused by Sound Music's gross negligence or willful misconduct.

6.6 Responsibility for guests and third-party claims

As stated in §6.2, the Account Holder is responsible for the conduct of the student named on the account and of any guest brought to the studio by the Account Holder. To the extent permitted by New Jersey law, the Account Holder agrees to cover Sound Music's costs - including reasonable attorneys' fees - for third-party claims arising from the acts or omissions of the student or those guests, including injury to others and damage to property. This responsibility is subject to the New Jersey statutory cap on a parent's liability for property damage by a minor and to fault-based requirements where they apply. It does not require the Account Holder to cover Sound Music for Sound Music's own gross negligence, recklessness, or willful misconduct.

7. Food, Drink, and Pest Prevention

To keep our rooms clean and our buildings free of pests:

  • No food or drinks in any Sound Music building.
  • Water is fine, but please keep it off of and away from any electrical or musical equipment.
  • If a spill or crumb situation happens, tell the teacher or the office so we can deal with it before it becomes a problem.

This is how we keep the studio clean, safe, and usable for all.

8. Studio Safety, Surveillance, and Drop-Off

8.1 Security cameras

Every Sound Music studio is monitored by audio and video security cameras (Ring or comparable platform) in lesson rooms, hallways, and common areas. Restrooms and other areas with a reasonable expectation of privacy are not recorded.

By using our services, you acknowledge and consent to audio and video recording while on Sound Music premises during operating hours. Notice is posted at each studio entrance. We use footage for student/family/staff safety, response to incidents, protection against false claims, and ordinary business operations. Footage is the property of Sound Music; we don't share it outside the company except as required by law or with consent.

8.2 Drop-off and pickup

Sound Music is a music instruction provider - we are not equipped to support child care outside of designated lesson and class times.

  • Students under age 13 must be accompanied at the studio by a parent or guardian before and after the lesson.
  • For older students, drop-off is at the family's discretion. Please pick up promptly.
  • If a parent is late picking up a minor student at the end of the day, we will contact the account holder. If no one can be reached and the last teacher of the day must leave, the student will need to wait outside or be picked up immediately - we do not have staff to supervise a child after closing.
  • Teachers do not transport students under any circumstances.

8.3 Online lessons

Some lessons happen online (Zoom, FaceTime, Google Meet, or another agreed platform):

  • For minor students, a parent or guardian must be in the room or in the home, audibly accessible, throughout the lesson.
  • Online lessons are not recorded unless you've signed a Photo and Media Release authorizing recording for the specific purpose. If a teacher uploads a recorded short video to your MMS account under our cancellation policy (§3.2), that video does not include the student; it's the teacher's instruction only.
  • Sound Music does not control the privacy practices of the third-party platform used. Choose a platform you're comfortable with.

8.4 Recitals and events

Recitals and other organized events are typically held off-site; the venue is announced per event. For events with elevated risk (a larger venue, a live amplified ensemble), we may require a separate Event Liability Waiver. Other event-specific terms - including any additional release for performance recording or photography - are provided per event.

9. Health and Safety in Music Instruction

A few disclosures about what music instruction involves:

9.1 Hearing

Amplified instruments - electric guitar, electric bass, drums, vocals through a PA, group classes that use backing tracks - can produce sound levels high enough to cause hearing strain over time. We use reasonable studio volume practices. If a student is sensitive to loud sound, we encourage the use of hearing protection.

9.2 Physical instruction

Music instruction involves sustained physical activity - breath support, posture, fingering, vocal use, hand position - that, like any sustained physical activity, carries a small risk of strain, irritation, or injury. Teachers will model and coach safe techniques to the best of their abilities.

9.3 Medical disclaimer

Sound Music teachers are music educators, not medical or therapeutic professionals. We don't diagnose, we don't treat, and we don't give medical advice. Students with a known medical condition that could be affected by instruction (vocal, hearing, hand/wrist, back, asthma, sensory, etc.) should consult a qualified medical professional before starting lessons and disclose relevant conditions to the studio so we can place the student with an appropriate teacher and make reasonable instructional adjustments.

Sound Music is not responsible for medical conditions arising during or after instruction, except to the extent caused by Sound Music's gross negligence or willful misconduct.

9.4 Allergens and scents

Although we don't sell or prepare food at the studio, we do have:

  • Cleaning products used by our contracted maintenance staff. If you or your student has a known sensitivity, tell us and we'll see what we can do to minimize exposure on lesson days.
  • Teachers and staff are asked to keep strong personal scents (perfume, essential oils) to a minimum.

If you have a known allergy or sensitivity, please let us know in writing at sign-up.

9.5 Assumption of risk

Music instruction involves inherent risks that can't be fully eliminated, even when everyone acts carefully. These include: physical injury from tripping over a cable, dropping an instrument, falling from a piano bench, slipping on a wet floor, or contact with another student in a shared space; hearing strain from sustained exposure to amplified instruments; repetitive-use strain or injury (hand, wrist, neck, back, or vocal) from sustained playing or singing; aggravation of a pre-existing condition; slip-and-fall and other premises risks in parking lots, on stairs, and in shared areas, particularly in winter or during construction or maintenance; travel risks to and from the studio, which are outside our control; and exposure to communicable disease in any shared indoor space.

By enrolling and participating, you acknowledge these inherent risks and voluntarily assume them on your own behalf and, where you are enrolling a minor student, on the minor's behalf to the extent permitted by New Jersey law. You confirm that participation is voluntary, that Sound Music has not pressured you into enrolling, and that you are free to discontinue at any time consistent with these Policies. This Section does not limit Sound Music's responsibility for its own gross negligence or willful misconduct.

10. Code of Conduct and Termination

We want our studios to be welcoming to every student, family, and staff member. The rules below apply to everyone using the studio.

10.1 Expected conduct

  • Respect for staff, teachers, other students, and other families.
  • No harassment, intimidation, discriminatory remarks, slurs, or threats.
  • No recording another student, teacher, or family member without their (or their parent's) consent.
  • No bringing weapons of any kind onto Sound Music premises.
  • No alcohol or recreational drug use on Sound Music premises.
  • Compliance with these Policies.

10.2 Grounds for termination

Sound Music reserves the right to terminate a student's enrollment for cause, including but not limited to:

  • Harassment of, or threats to, staff, teachers, other students, or other families
  • Theft from the studio, staff, or other families
  • Damage to studio property through repeated or willful misconduct (see §6)
  • Repeated failure to pay an invoice within a reasonable cure period
  • Use of someone else's payment method without authorization (e.g., credit card fraud)
  • Repeated violations of these Policies that continue after notice
  • Recording other students or staff without consent
  • Abusive or threatening communications to staff, teachers, or other families
  • Any conduct that materially disrupts the studio's operations or the experience of other students.

10.3 Procedure

Where possible, we'll address an issue informally first - by a conversation with the Account Holder or by reassigning to another teacher. Where the conduct continues, or where the issue is too serious for informal handling, we may terminate enrollment.

10.4 Refund on termination

Where Sound Music terminates enrollment, the unused portion of any prepaid package is refunded under §4.3, less any unpaid balance or damages assessed under §6.

11. Photo, Video, and Media

Use of student images is opt-in. The standalone Photo and Media Release spells out the details and is signed separately when (and if) you'd like to participate. Highlights:

  • Default: No public posting of identifiable student photos, video, or audio without a signed Photo and Media Release on file.
  • Crowd shots at organized events: Where a release is on file, the studio may include the student in event photography (recital, open house, group class showcase) intended to depict the event as a whole, even when individual students are visible.
  • Paid advertising (boosted posts, paid ads, billboards, printed flyers used commercially): We'll obtain explicit per-use consent before using an identifiable student in paid advertising.
  • Revocation: You can revoke a release at any time by emailing the office. We'll take down posts and recordings within our control. Printed materials and archived materials that are not readily replaceable may continue to exist; we won't reuse them going forward.

For recitals and other organized events, an Event Liability Waiver may also be required separately or may include Photo, Video, & Media release stipulations, specific to that event.

12. Privacy and Personal Information

Our handling of your personal information is described in the Sound Music Privacy Policy, available at each studio's website. Highlights:

  • We collect and use what we need to provide the service: name, contact info, scheduling, payment token (we don't store raw card numbers - Stripe does), optional age, and the information you put into your MMS account.
  • We don't sell or rent your personal data, and we don't share it with third parties for their own marketing.
  • For students under 13 who sign themselves up online, we obtain parental consent before collecting personal information directly from the child. For students between 13 and 18, we limit direct collection from the student and route communications through the parent or guardian.
  • You have rights of access, correction, deletion, and opt-out under the New Jersey Data Privacy Act and other applicable laws. Email the office to exercise any of those rights.

13. Materials and Copyright

Teachers may share short excerpts from sheet music or method books in our reference collection within the bounds of fair use, or where the publisher's license allows. For pieces or method books a student will use on an ongoing basis, the student or family is responsible for purchasing materials.

14. Communication

14.1 Official channels

Our authorized communication channels are the MMS messaging system, the office email addresses (office@collingswoodsound.com, office@haddonfieldsound.com, office@merchantvillesound.com, office@soundmusicnj.com), and the office phone numbers. For account questions, scheduling, billing, or anything time-sensitive, use one of those.

14.2 Direct communication between teachers and minor students

For minor students, all regular communication with the teacher includes a parent or guardian on the thread. The only exception is a brief day-of "running 5 minutes late" or "lesson is on" logistics message, where the teacher may text or call the student directly only if the parent is CC'd or messaged at the same time. Anything beyond that - schedule changes, lesson content, billing - comes through the office or the parent.

15. Parking, Bicycles, and Outside Spaces

15.1 Collingswood (417 Champion Ave.)

  • On-site parking lot.
  • Street parking is also available along Champion Ave.; please observe local traffic and parking signs.
  • A bicycle rack is provided as a convenience near the back fence. Sound Music is not responsible for theft of or damage to bicycles or accessories.
  • Visitors should not park directly in front of neighboring driveways or curb cuts. Please be considerate when parking on the street.

15.2 Haddonfield (3 Kings Highway East, #2)

  • Metered street parking on Kings Highway East, or free parking at the PATCO lot off Washington Avenue and Rosedale Avenue from 10 AM to 5 AM (no overnight parking).
  • The PATCO lot is a third-party facility. Sound Music has no control over and accepts no responsibility for events that occur there.
  • Bicycle racks are available on Kings Highway (courtesy of the Borough of Haddonfield) and near neighboring businesses as a courtesy from those businesses.

15.3 Merchantville (Parachute Studios, Maple Ave.)

  • On-site parking lots on either side of the building.
  • Street parking is available along Maple Avenue.

16. Accommodations and Anti-Discrimination

Sound Music welcomes students of every race, color, religion, national origin, ancestry, age, sex (including pregnancy and breastfeeding), gender identity or expression, sexual orientation, marital or civil-union status, military or veteran status, disability, atypical hereditary cellular or blood trait, genetic information, and any other characteristic protected by the New Jersey Law Against Discrimination or the Americans with Disabilities Act.

If you or your student needs an accommodation - a sign language interpreter, a sensory-friendly room, a teacher with experience in music therapy or special education, a quieter space, a different time of day - contact the office. We'll work with you in good faith to find a workable arrangement.

Service animals are welcome consistent with the ADA. Other pets and animals are not permitted in the studios for sanitation and allergy reasons.

17. Force Majeure

Sound Music's performance under these Policies is excused to the extent it's prevented or delayed by events outside our reasonable control, including: pandemics, public health orders, government-mandated closures, fires, floods, severe weather, utility outages, denial-of-service attacks on systems we rely on, and similar events. In a force majeure situation we will work with affected families on online lessons, rescheduling, or account credits — see §3.5 and §3.6.

18. Disputes

We hope it never comes to this, but if it does:

18.1 Pre-suit notice

Before either of us files a lawsuit relating to these Policies or your account, the filing party will give the other party thirty (30) days' written notice (either to an email address on file or the last known mailing address) describing the claim, and we'll negotiate in good faith to try to resolve it during that period. Pre-suit notice isn't required for (a) injunctive relief to prevent immediate, irreparable harm; (b) mandatory reporting obligations; or (c) any matter where the applicable statute of limitations is about to expire.

18.2 Governing law and venue

These Policies are governed by the laws of the State of New Jersey, without regard to its conflict-of-laws rules. Any dispute will be brought in the state or federal courts located in Camden County, New Jersey, or, where federal jurisdiction applies, in the United States District Court for the District of New Jersey. Both parties consent to the personal jurisdiction of those courts.

18.3 Small claims court

Nothing in this Section prevents either party from bringing an eligible claim in small claims court; however, the pre-suit notice and good-faith negotiation requirements in Section 18.1 shall still apply unless emergency relief is required.

18.4 Limitation of liability (non-personal-injury claims)

For any claim that is not a personal-injury claim - for example, a billing dispute, a contract claim, a property-damage claim against Sound Music, or a claim for emotional distress not accompanied by physical injury - Sound Music's total liability is limited to the lesson fees you paid in the twelve (12) months before the event giving rise to the claim. This limit does not apply to any claim that cannot be limited under applicable law.

19. Severability

If any provision of these Policies is held unenforceable, the remaining provisions remain in full force and effect. A court of competent jurisdiction is authorized to modify any unenforceable provision to the minimum extent necessary to render it enforceable.

20. Modifications

We may modify these Policies upon at least thirty (30) days' notice, posted on each studio's website and emailed to active families. Continued use of Sound Music services after the effective date is acceptance of the modified Policies. Modifications won't be applied retroactively to a paid package already in progress at the time of modification.

21. Entire Agreement

These Policies, together with the Liability Waiver (where applicable), the Event Liability Waiver (where applicable), the Photo and Media Release (if signed), and the Privacy Policy, are the entire agreement between you and Sound Music with respect to your enrollment. They supersede prior versions of any Sound Music policies.

If something in these Policies conflicts with something in the Liability Waiver, the Liability Waiver controls. If something in these Policies conflicts with something in the Privacy Policy on a privacy issue, the Privacy Policy controls.
